PAPERCOURT SAILING CLUB

MINUTES OF FULL COMMITTEE MEETING

HELD ON 6th JULY 2022 AT 7.30 pm

PRESENT Jeremy Riley (JR), Jeremy Sumeray (JS) Jenny Snow (JSn), Mike Hall (MH), Paul Walker (PW), Justin Meredith (JM), Sue Michelmore (SM), Frank Brown (FB) and Judith McKnight (JMc) )

APOLOGIES FOR ABSENCE received from Tom Key, Jason Noble, Roger Roodhouse, Ray Meerabeau, Jill Hamment, Michaela Saponara and Tony Canning.

JR opened the meeting at 7.34pm

MINUTES OF PREVIOUS MEETING

These were agreed.

MATTERS ARISING NOT COVERED BY THE AGENDA

There were none

FINANCE

MH circulated a report of expenditure for the first 9 months of the financial year and agreed to produce a forecast to the end of the year. The rates and taxes have been paid and everything looks good.

He is keen that the club should go as cashless as possible, to save Val having to deal with lots of tea bar money. He will discuss adjusting prices with Val, to deal with the £1 minimum spend. It was felt that Saturday mornings could be the sticking point, so it was agreed to announce the change and then encourage it as much as possible.

MEMBERSHIP

PW reported that membership is now 419 and there are 3 or 4 in the pipeline. These are not on a like for like basis with previously reported numbers due to the way SCM addresses mid term resignations. A new feature has been added to Sailing Club Manager enabling the RYA access to our membership data for the annual census. This will save all clubs from the task.

SAILING

JSn reported that the new Friday night series is popular and attracts an average of 12 boats. The last session will be on the 22nd July due to the holiday season making it hard to find PROs.

A recent training session for potential PROs has yielded 4, with a further possible 7 or 8. FB will continue to look for likely candidates and possibly hold another training evening.

TRAINING

JR read a report from JN covering the recent successful RYA inspection, with thanks to all who helped. 11 students passed the recent PB2 course, 6 prospective DIs passed their pre-assessment. The Adult Spring Course has completed successfully, and he hopes to have more PB2 courses in August and November. 54 sailors have signed up for the 2 day Youth Courses. Finally congratulations to PW who is now a PBI.

JSn attended a recent RYA Safeguarding course, and it emphasised the need for a Social Media and Communications Policy. She will contact the RYA for a template. It was agreed PSC would issue a Social and Media policy.

It was agreed to purchase 3 Argo dinghies and dispose of one old training boat. PW reported that one of the Fevas is wrecked and he will try to find a second-hand replacement. The Topper fleet needs to be refurbished and it was agreed to buy 3 new sails.

SM asked if there could be another Start to Race course

CHANGING ROOMS PROJECT

JM reported he has sent a Letter of Engagement to Grainge Rider Architects and is trying to fix a date for the first consultation.

WEED REVIEW

We are waiting for instructions from the hydrologist at Merrist Wood regarding sampling. John Baple, assisted by Susan Lewis and FB, has trawled the archives and compiled a history of weed for the last 30 years.

This year we have blanket weed which is still short and not needing cutting yet.

ESTATES GROUP REPORT

FB reported that Ed has sprayed the Japanese Knotweed and Himalayan Balsam.

HOUSE GROUP REPORT

FB reported that the spare gravel has been spread around the site. The artwork for the entrance sign is done. The bird identification posters will be relocated onto the clubhouse wall to improve the sight lines. JSn is sourcing a new poster. The alarm panel has been replaced.

JMc read a report submitted by RR on the many varied tasks undertaken in May and June. The committee remarked on the enthusiasm and willingness of the group which is greatly appreciated.

ROUND TABLE UPDATE

JN had raised the topic of storage of club documents in one digital location. It was agreed that JS and FB would liaise with him regarding using Google Drive or similar.

SM Sailability now has a new wheelchair to assist unsteady clients moving from the clubhouse to the slipways. New volunteers are always welcome especially during the holidays. A group of handicapped children will be coming to sail as part of their Gold D of E award.

PW reported some hire boats have damaged covers and sails. It was agreed that he should replace as necessary to keep the fleet in good condition.

JM asked if local artist Mary Branson could temporarily moor a structure on the lake to assess its performance prior to being installed at Canary Wharf. This was agreed.

The trellis and laurels to screen the Distillers container from the road will be planted at the appropriate time.

JSn commented that the Committee Members display in the foyer needs updating, JS will arrange this. Ladies Sailing is now weekly rather than monthly and it was agreed that their hire charge will be halved for the rest of the season. TK will be asked to relay the news to the group.

She asked if local Ukrainian refugees could come for a sail on the Crabber. SM would need to be consulted.

FB announced that the last outboard motor has been delivered so the rescue fleet is fully functional.

JS reported that the Sustainability Group are starting to research air source pumps to heat the club. We have obtained a 'B' EPC certificate which is surprisingly good, and gives us a base to work from. We are metering energy consumption to help decide the size of battery to use with solar panels, if we go that route. There is no rush, because any decisions will be linked to the changing rooms project.

JR announced that we shall find out some time in July if we have been granted a visit from the Princess Royal.
